Executive Assistant to the CEO, Hybrid (Remote & In Person), Los Angeles

Backed by top investors and building at the frontier of AI and media, we are looking for a highly organized and ambitious Executive Assistant to join our team. This role offers direct exposure to the CEO, core leadership, and a unique opportunity to grow into a true strategic partner as the company scales.

The Role

As an Executive Assistant to the CEO at Noctal you will combine executive partnership with strategic operations, project tracking, and cross-functional coordination. You will act as an extension of the CEO, ensuring priorities are translated into clear tasks, communicated to the right owners, and followed through to completion. This includes managing scheduling and communications, preparing daily briefings that drive clarity, and maintaining alignment across leadership, product, and marketing.

In addition to executive support, you will contribute to product and design discussions, assist in shaping and tracking marketing campaigns, and coordinate with vendors and partners to ensure deliverables meet scope and deadlines. The position requires in person availability for meetings, events, and occasional travel, and may occasionally include personal logistics that help the CEO stay focused on company priorities.

By serving as both a trusted partner and an execution driver, you will play a central role in keeping Noctal aligned, moving quickly, and scaling effectively.

This position will begin with a 1 month ramp period. After 1 month if you have demonstrated your ability to not only handle executive operations, but also engage in product and marketing contexts the role may transition into a full time W-2 employee position with salary, benefits, and expanded scope.

Responsibilities:

During Ramp:

  • Establish CEO calendar and inbox systems, ensuring priorities are surfaced daily
  • Deliver daily morning briefs and meeting prep, converting discussions into clear, trackable tasks
  • Provide weekly updates summarizing progress, risks, and next steps
  • Draft an initial content and milestone calendar aligned to company priorities
  • Participate in product and design discussions, shaping decision frameworks and capturing outcomes
  • Partner with the CEO to shape campaign strategies and track execution

Upon Conversion (Full Time Employee):

  • Drive operational systems for scheduling, prioritization, and project tracking
  • Collaborate on marketing and campaign execution, maintaining calendars, QA, and performance tracking
  • Translate product and design feedback into structured briefs and prioritized tasks
  • Track CEO initiated initiatives across tools (GitHub, Jira, Notion, Slack), follow up with owners, and provide concise status reports
  • Source and coordinate vendors, evaluate deliverables, and maintain scorecards
  • Conduct targeted research on investors, partners, and competitors with actionable insights
  • Serve as a trusted proxy for the CEO in select meetings and maintain leadership alignment
  • Offer comprehensive support to the CEO, occasionally including personal logistics or coordination, to ensure focus remains on company priorities

Qualifications (Minimum)

  • 1 to 3 years of experience in a startup, agency, or executive support environment
  • Exceptionally organized, proactive, and detail oriented
  • Strong written and verbal communication skills, including the ability to draft executive briefs and updates
  • Comfortable toggling between high level context and operational detail
  • Experience tracking tasks or projects across tools such as GitHub, Jira, Notion, or Slack
  • Based in Los Angeles, with regular in person availability for CEO support, meetings, events, and occasional travel
  • Able to operate with discretion and maintain confidentiality
  • Thrives in fast paced, high growth environments where priorities shift quickly

Preferred Qualifications

  • Prior exposure to marketing campaigns or product design processes
  • Experience supporting an executive with both professional and occasional personal logistics
  • Comfort working directly with vendors, contractors, or partners on behalf of leadership

Engagement:

1 month full-time consulting contract. Upon successful performance and demonstration of fit, the role may convert into a full-time W-2 employee position with salary, benefits, and expanded scope.

Compensation and Benefits

Ramp Period (1 Month):

  • Short term paid work agreement

Full Time Conversion (upon successful performance):

  • $55,000 to $70,000 annual salary
  • $500 yearly stipend to cover cell, internet, and devices
  • 100% employer paid healthcare coverage
  • Unlimited PTO with approval + sick leave in line with California law
